Ask the Wedding Pros! Solutions to Sticky Situations

Where do I seat my divorced parents during the ceremony and at dinner during the reception?

Lisa: Creating a harmonious atmosphere at your wedding requires genuine thought and an astute sense of awareness of the well wishers who’ll celebrate with you on your big day. If your parents are not amenable to being seated elbow to elbow during your event, try this approach to keep tempers at bay.

Discuss candidly with your parents early in the planning process where they would prefer to be seated. I know, easier said than done, but someone has to make the first move. Such a conversation has the potential to make you feel uncomfortable and have you ready to run for the door, leaving you only to deal with the matter at a later date. Tackle this head on with an open mind just as you did when choosing your gown.

Sit your mother on the aisle seat of the first row and your father on the aisle seat of the second row during the ceremony. Assign someone to position “reserved” table markers along with place cards to indicate your parents’ seating assignment. Mom and Dad will take pleasure in dining at separate tables closely flanked by the table you and your groom will be sitting at while enjoying the rest of the festivities.

Emily: Lisa offers great advice. Sometimes going by the book is the best way to alleviate tension. It can also be a nice gesture to seat your mother’s parents with her and your father’s parents with him. This fills up the rows and makes the separations less conspicuous which can make everyone feel more comfortable. If the divorced parents are at ease with sitting together on the front row, go for it with the following suggested order: mom closest to the aisle, mom’s spouse, dad’s spouse, dad. Grandparents may then be seated in the second row.

I’ve invited a friend from work to my wedding; however, she is planning to attend the event with an uninvited guest. How should I handle this sticky situation?

Emily: This situation raises all sorts of issues. It is certainly inappropriate for your friend to invite a guest if her invitation did not include “and guest.” You would be justified in graciously explaining to her that space is limited and you are unable to accommodate her guest. However, when this happens to my clients, I often encourage them to allow the guest, if at all possible. The invited friend will often feel offended by not being allowed to bring her escort or friend which could potentially create longterm issues for your own relationship. Plus this kind of conversation is normally very stressful. Is this really something you want to deal with while planning your wedding?

Lisa: All guests receiving invitations to your wedding should carefully read how the envelope is addressed in an effort to determine who specifically should attend. Here’s a clue, does the invitation include your name “and guest” or your name “plus one”? If circumstances warrant you having to speak with your co-worker, kindly explain your rationale for only inviting them and in most cases this settles the issue.

Family, friends, and even strangers are constantly giving me advice on how to plan my wedding. Whose suggestions should I consider?

Lisa: Everyone comes out of the woodwork to give ideas, tips, and traditions shared through their experiences. Be that as it may, it can cause overload and a sudden trip to the funny farm. Be respectful, and listen to whoever parts their words of wisdom, but be selective in attempting every suggestion. Gracefully say “thank you” to each person providing the idea and move on. No one’s feelings are hurt and you keep your sanity. Just remember your wedding planner wears many hats and can provide you with valuable, professional, and objective advice.

Emily: Any woman (and a man or two) who has ever been married...or not...has an opinion about your wedding. The daily random advice giving, plus what can seem more like directives and less like opinions from those closest to you (think parents, best friend, fiancé) can be overwhelming. The most important thing to remember is that this wedding is yours and your fiancé’s. Whatever the two of you decide will be best for your day. From there, think about who is paying for the event. If your parents are paying, it is reasonable they would have some say about how their money is spent, particularly when it comes to staying on budget.

For the tough questions that bring turmoil because everyone has an opinion, it can be helpful to ask a professional. Your wedding planner, photographer, DJ, and other vendors can walk you through the guidelines of etiquette, how to make your guests most comfortable, and what will work best for the timing of your day. Just be gracious when others offer unsolicited advice. Consider what they are saying. You never know when someone might have an innovative idea for making your day unique, a new way to save money, or maybe even the ultimate secret to a happy marriage.

Top 10 Questions to Ask Wedding Vendors

The process of choosing and contracting vendors for your wedding is similar to running your own business. In essence, you are bringing various subcontractors together to create an amazing product, your wedding, that will please your “clients,” or guests. It is important that you establish an open line of communication with your vendors from the first time you speak, whether by phone or at an in-person consultation. While florals and fondant may not have much in common, you will find that the following questions equally apply to the florist and the baker, as well as any other vendors you consider.

1. How long have you been in business?

Experience is golden in this industry. However, someone new is not necessarily a poor choice. The newer vendor may have a fresh idea and a lower price point.

2. Do you have photos or displays of your work?

A professional will tailor his or her work to your vision. Look for a variety of styles in their repertoire. If the vendor specializes in a specific style, be sure it matches your vision.

3. Will you be on-site during my event?

This is a vital question for those vendors providing services that are “used” throughout the event. For example, most florists will not stay on-site because once setup is complete; there is nothing else for them to do. However, a representative from the venue should always be on-site to answer questions and problem solve.

4. Will you bring an assistant with you on the day of my event?

This is an important question with no one right answer. The number of people needed to provide a particular service with excellence will depend on a variety of things such as number of guests, type of service, and size of venue.

5. Will you provide references upon request?

A conversation with a former client can give you a baseline for a vendor’s personality and work style. It is also possible that vendors you are considering have previously worked together. Ask questions about how well the vendors cooperated to create a seamless event or find solutions as necessary.

6. Do you offer specials or discounts on-line?

Budget is almost always a worry that ranks in our clients’ top five list. Do not be afraid to discuss the price you need and how that matches with the services you require.

7. Will you custom design a package for the services I need?

Weddings are never cookie cutter! Most wedding professionals are glad to customize a package to best fit your needs.

8. What is included in your rental fee?

Ask for a written contract. It will help you avoid confusion and stress in the long run.

9. How much and when is the deposit due for your services?

Make sure you know what is required to reserve your date. Some vendors provide a courtesy hold while you consider, others only hold your date once you pay the deposit.

10. What is your cancellation policy?

No one wants to think about canceling or postponing the wedding, but sometimes crazy things happen. We have had clients get called for active duty in the military, fire-ravaged venues, and cheating fiancés. None of these are pleasant situations, and all of them require flexibility. Knowing the policies in advance for such potentially disastrous circumstances can help you rest better knowing you have a backup plan.

These questions are intended to help you begin the conversation with your vendors. An honest and detailed initial consultation sets the stage for efficient and productive communication throughout the planning process. Never be afraid to ask for exactly what you need. Your vendors will be thrilled to know just what is required to deliver services that meet your expectations and contribute toward creating your overall wedding vision.

Money Matters for Today’s Bride

Congratulations on your engagement! While planning your wedding, you will enjoy dress fittings, portrait sessions, bridal showers, and so many more delightful, once-in-a-lifetime events. So, why are we bringing up the dreaded “B” word? Believe it or not, the sooner you create a budget, the better your planning experience will be.

A budget is key for lowering stress levels for everyone involved with writing checks for the wedding. No matter how big your budget, there is always a limit. The tips below equip you to keep your finances under control so you can spend more time enjoying the delightful experiences of planning, rather than the worries and headaches of trying to make ends meet.

Determine how much you plan to spend.
Allocate 50 percent of your budget to include facility fees, catering, alcohol, service attendants, rentals, cake, and décor (other than flowers).
Do not forget to account for gratuities to vendors who provide exceptional service.
Establish who will pay for what early in the planning process.
Keep track of your expenses in a binder. Include receipts, contracts, estimates, and quotes for easy reference.
Create a budget worksheet which includes the estimated cost, actual cost, and the amount of deposit along with payment due dates.
Be willing to consider creative alternatives to items out of your price range.
Do not “haggle” with vendors. Respected vendors set their prices for what their services are worth. If you simply cannot afford a standard package, but you want to utilize their services, ask if they might be able to customize a package to fit your needs.
At the very beginning, prioritize elements of the event that are most meaningful to you. Allocate your funds according to where things fall on the priority list.
Choose quality products and services. You will never be disappointed.

As planners, we cannot emphasize enough how important it is to begin with a realistic point of view for your expected expenses. As an example, we often see clients panic when they receive their catering bill because they do not understand the expenses involved with preparing food and providing staff to serve a large number of people in a non-restaurant location. An initial conversation with your wedding planner can help you estimate costs for each category so you can better avoid sticker shock. As with anything major, the more information you have, the more prepared you will be to make good decisions. Happy Planning!

What influenced both of you to become caterers?

Ragan: I have always loved to cook but had no formal training. While I was working my first full time teaching job in Asheville, Tara was doing her internship for a catering company in Charlotte. After graduation she was offered a full time position. She really liked the work, but always ended up in Asheville on her days off. When an interim teaching job ended, I couldn’t find work doing anything (seriously, anything), but I refused to move away from Asheville. So I convinced Tara to move here and start a catering company. I guess the short answer is that we started a catering company out of both necessity AND enjoyment (of cooking and Asheville).

Tara: I grew up cooking with both of my parents. My dad loved to grill and made the most incredible grilled chicken in the world. Anytime my mom was cooking in the kitchen, I was usually there tasting sauces, dipping my fingers in something, or taking over where I could. She made everything from scratch and I loved seeing the beginning to end process...homemade tomato sauce, salad dressings, cookies...nothing on our table came out of a box, jar, or can. I think this is what got me to love cooking in general. I didn’t really know I wanted to get into catering until I was a junior at The University of Georgia getting a business degree. There was no way I could sit behind a desk for the rest of my life. I wanted something with action, change, and something that gave me the option to do what I wanted...not what someone else wanted! I went on to culinary school and then got an incredible internship/job in Charlotte working for a small catering company much like ours.

What do you enjoy most about your job?

Ragan: I LOVE incorporating a bride’s overall vision into the menu and display. When a couple have a really clear theme or vibe for their reception, I run with it. I think it is so much fun to blend those elements into the creation of a menu as well as the décor on the food stations. I love to go to the fabric store and buy draping material. I like to pick out all the serving pieces and platters and come up with new uses for unique containers to suit each event. Sometimes I will even visit with a couple’s florist to borrow coordinating pieces to work into the food design. I also really enjoy making up seasonal recipes with fresh produce you can only get part of the year. It makes it more special when you know you can only serve it a month out of the year (like our Fresh Roasted Pumpkin Corn Chowder or our Strawberry Jalapeño Salsa or A Fresh Peach & Mint Margarita (picture attached)!

Tara: I enjoy the flexibility...in everything! We have flexible work schedules and are able to enjoy time off with family and friends when we choose. I also love the flexibility in the kitchen...we are able to change our menus, come up with new and interesting items, experiment, and impress our clients with new dishes every day. I don’t consider myself a creative person (in the traditional sense of the word)...but, playing with food gives me the opportunity to show my creative “flare” when I feel the need!

What type of catering event was the most unique?

Ragan: My wedding! It was so much fun and the menu was very personalized and creative! And being my own client was great. I completely trusted that everything was going to go perfectly and it did. After a lot of planning and organizing, Tara killed it in the kitchen the week of the wedding doing all the prep work, and our crew was fantastic the day of the reception. Paper baskets with Fried Okra and Sweet Potato Fries alongside either a Grilled Mini Dog or a Hand-Pattied Slider with my husband’s favorite and Greensboro’s own Beef Burger Biff Sauce. A Make Your Own Salad Station with the freshest Summer veggies and lots of toppings served in asian to go boxes. And a Hometown Treats Station with all sorts of yummy stuff from our home states of Georgia and North Carolina (including bottled Cheerwine and Coca-Cola). Mini Mocha Cupcakes (for me) and Mini Turtle Cheesecake Cupcakes (for him). Oh and of course, long neck PBR and Bourbon Slushies! It was a perfect day. And having had that makes me want to give that experience to all of our wedding clients!

Tara: I love catering events like the Culinary Affair with the Chamber of Commerce! It gives us a great time to market ourselves face-to-face with local business owners. We also get to prepare cocktails and hors d’oeuvres that are totally up to us! We get to show off and experiment with new menu items, seasonal ingredients, and most of all, interact with the people who helped get us started here in Asheville!

What advice would you give to brides who are looking for the perfect caterer for their event?

Ragan: There are several really talented catering companies in the area. And each has its own niche. The clearer your vision the more likely you are to be happy with the end result, so be explicit in your requests, be firm with your budge (but realistic), and ask for a tasting. Once your main requirements have been met, let the chef have fun with it!

Tara: Go meet your caterer...make sure they “get” your vision. Taste their food and love it!

Serena: As the popularity and demand began to grow in this genre of cake design, we grew interested as well. We felt as a team that with our combined training that 3-D cakes would be an exciting challenge. We are creatively driven by each new idea, and love the one-of-a kind nature of each cake. Combining the skills of a master sculptor, and life-long baker... well the possibilities are endless, as well as delicious.

Exquisite Events & Consulting: What do you enjoy most about your job?

Serena: The thing I most enjoy about my job is the diversity. Each design is completely unique and customized to the ideas and dreams of the client. My job is always exciting. I love the "wow' factor at the presentation of a cake, and the joy I feel when I have captured exactly what my client was thinking. I love my customers!

Exquisite Events & Consulting: Which wedding cake was the most difficult to create and deliver?

Serena: The most difficult cake I ever delivered was actually not a sculpted one. It was only difficult because it was four tiers of butter cream, a 60 mile delivery and a balmy 80 degrees outside. It made it there safe and sound and in pristine condition, thanks to a VERY cold delivery vehicle. We will do whatever it takes for a perfect cake!

Exquisite Events & Consulting: What advice would you give to brides who are looking for the perfect wedding cake?

Serena: Something that will help your cake designer will be pictures of cakes that you like. This will give them a good idea of your style and personal taste. I advise brides not to fear breaking tradition, and to allow the cake to display their personality, through color and theme. Remember that "original" cakes and even sculpted cakes are in!

At your tasting, it helps to have a friend along, someone who you feel comfortable with and who will support you in your decisions, (like your event coordinator). Also, ask your cake designer to provide a sketch of your cake. They may charge an additional fee, but being certain of your final design is worth it. Last of all, make sure your cake provider is aware of any important details, (such as the placement of your cake topper, or any special arrangements to be made on the cake table.)

HOPE IN THE HANDWRITING

The benefit event for Helpmate entitled, Hope in the Handwriting was a success! So many supporters attended the event which consisted of a silent auction, live music by Jeff Santiago, and a hope notes display for guests to write words of encouragement to women facing domestic violence. The hope notes will be given to women who use the services of Helpmate.

HOT PINK & ORANGE at LAKE LURE

During one of our wedding and event planning classes Wedding Inspirations provided a gorgeous gown for the event. The broach affixed to the gown increased the glam factor exponentially. Wedding Planning for Beginners Part 2 was PHENOMENAL!!! The focus of the workshop was Decor and Design and we did not miss a beat. Ronda Lynn Kornegay from Classic Event Rentals displayed a myriad of linens to consider when planning your wedding. She also spoke to the participants regarding the latest trends and the items needed to bring your vision to reality with their products.

Windows on the Park hosted the 2 hour workshop and provided one of the best locations for our event. We were welcomed with delicious hors d'oeuvres to nibbler on while we toured the facility. Ragan Evans also discussed the various set up configurations and catering options available during the year.

Wedding Inspirations, Bela Dona Designs and Mitchell's Tuxedos also displayed samples of their wedding attire to inspire brides on what to wear for their dream wedding. All of this and much more was captured by Camilla Calnan of Camilla Calnan Photography. Check out the photos below. Part 3 of the series will be held at the Crest Center and Pavilion on November 11. Wedding Planning for Beginners (Part 1) kicked off with a BANG!!! The participants had the opportunity to hear from our first guest speaker, Annette Lewis from the Baggie Goose. The Baggie Goose, located in the historic Biltmore Village supplies invitations, stationery, greeting cards, etc. which are frequently used by brides nationwide. It was great to hear Annette discuss all the specifics in creating, assembling, addressing and most of all the protocols when ordering your wedding invitations.

We also had the distinct pleasure of viewing wedding attire displays from fabulous vendors such as Mitchell's Tuxedos and Wedding Inspirations. Bela Dona from Bela Dona Designs displayed her very own custom designed miniature bride wedding gown which included a detachable train and cathedral length veil. Floral designs were generously provided by Flora and Sweet Bouquets. We covered so much material during the 2 hour workshop and ended with a wonderful tour of the Renaissance Asheville Hotel given by Lois Davis. Lois, YOU ROCK!!!

Each 2 hour workshop provides valuable information filled with helpful tips, the latest trends and resourceful planning tools used by accomplished wedding professionals. Learn the secrets to staying within your budget, see the latest decorating and designing concepts, discuss your wedding dilemmas with experts, and much more.

Attend all workshops to gain basic knowledge about the wedding planning process or attend specific workshops to focus on your interest whether it is deciding on decor, finding the perfect cake or creating a wedding day timeline. We'll cover it all!

Kathleen's Tea Room is the ideal location for delicious food, beautiful decor and an attentive staff in Fletcher, North Carolina. I was invited to lunch by my new friend, Emily McCollin of Occasions by Emily and met the owner of the tea room, Tami Halliman. Tami has a great welcoming smile which makes you feel at ease immediately. We had a wonderful time together as we sampled the Avocado Sandwich, Seafood Quiche, Carrot Cake, and Coconut Macaroon which were remarkable!!! Emily, thanks for your friendship and the great experience at Kathleen's Tea Room.

Oh what an event!!!!! Earlier this week I had the esteemed pleasure of attending the Diana at Biltmore reception. The staff personally welcomed each guest as they entered the property and there it was in front of you, an event space like no other. The gorgeous decorations, bountiful food displays and a bar to quench any thirst set the stage for an elegant reception. Oh, did I mention the band, A Social Function. They rocked the house! My intern Nicole and I had a marvelous time and we were excited to share a few photos.

Exquisite Events & Consulting has been working with Corey Cagle Photography on several events. Each image she shoots is carefully edited with love and attention leaving an album filled with precious memories which are cherished for years. From the moment you meet Corey her personality draws you in and her photos close the deal. Thanks Corey for being a wonderful friend and superb photographer.

What influenced you to become a photographer?
Corey: A friend was taking a black and white photography course in college, and I admired the images he created. I loved the creative side of what he was doing. It was inspiring! I was curious, so my husband bought me a nice camera for Christmas...and then the true love began (of photography that is!).

What do you enjoy most about being a wedding photographer?
Corey: There are two things I love about what I do. The emotion is the best part. I love to come away from the day knowing that when each couple sees their images, they feel the emotions all over again, getting to relive those moments over and over. The second is capturing some really awesome portraits of the couple. I get to be totally creative with these and play! I love my job!

What makes an image memorable?
Corey: When it captures the essence of the subject being photographed and tells a story. If you see yourself in an image or can feel what is happening, you will remember it.

What advice would you give to brides who are looking for the perfect photographer?
Corey: Look at several photographers' portfolios and see what it is you like about each persons work, then choose one that you feel most comfortable with. This is someone that will be around you throughout your wedding day. Being able to relax in front of the camera can make a big difference in the final products. Some photographers prefer a more photojournalistic approach, and some a traditional. I like to mix it up throughout the wedding day and add in a creative touch. The most important thing is to relax and have FUN!

From the day Brian proposed to La’Zendra in a restaurant atop the tallest building in Boston, The Prudential Building, planning the wedding of their dreams began with much anticipation. As fate would have it the bride is a wedding consultant at one of Asheville’s coveted event locations and she dreamed that her event would be as memorable and beautiful as any other event she has planned for other brides.

The theme, Breakfast at Tiffany’s set the mood for the event with a color palate filled with hues of platinum, tiffany blue and white. The wedding and reception would include several activities which required expert supervision and instruction from experienced wedding professionals. In an effort to pull the event off without a hitch while retaining her sanity during the planning process La’Zendra requested the services of not one but two wedding planners located in Asheville, NC to orchestrate the event which would be held in Charleston, South Carolina.

Wedding planners, Lisa G. McMillan of Exquisite Events & Consulting and Nicole Riley of Verge Events partnered to make the bride and groom’s wedding the epitome of their vision. Vendors servicing North and South Carolina were brought in to ensure the venues; florals, cake, and décor were in complete harmony.

Winter 2008

The students who attended the Wedding and Event Fundamentals class at Blue Ridge Community College were given the opportunity to learn about many segments involved in planning a wedding or special event. They gained knowledge starting with how to develop a budget with a bride and groom to understanding the key elements in creating an unforgettable event.

Each class was unique in its approach in teaching the group which best practices to use in the event planning industry. Several prominent guest speakers provided the class with tips and suggestions on partnering with vendors and working with clients to ensure a seamless event. One highlight of the course was the field trip to the Kenmure Country Club where the staff welcomed us with refreshments, a site tour, and an informative question and answer session.

Melissa: What influenced me to become a cake decorator were my friends, my children, and my creative talent combined with the love of food.

Exquisite Events & Consulting: What do you enjoy most about creating your cakes?

Melissa: The thing I enjoy most about creating cakes is being given the opportunity to use my creative talent.

Exquisite Events & Consulting: Which wedding cake was the most difficult to create and deliver?

Melissa: Wedding cakes are always a joy to create. I would have to say it’s the one of a kind unique design of the grooms’ cakes or custom cakes my clients put their trust in me as an artist to design. They are always challenging therefore making them the most difficult to deliver sometimes.

Exquisite Events & Consulting: What advice would you give to brides who are looking for the perfect wedding cake?

Melissa: The best advice I could give to brides about creating their dream cake would be to, sketch out on paper the vision you have and build your surroundings, themes, and colors schemes from there on paper. Taking this sketch and other photos you may have to the cake artist of your choice helps them a great deal with making your cake visions become your realistic wedding cake dream.
